About Lower Yukon School District
The Lower Yukon School District (LYSD) is a rural public school district headquartered in Mountain Village, Alaska. It serves about 2,000 students across 10 villages in the Kusilvak Census Area, covering a vast 22,000-square-mile region. The district focuses on integrating Yup'ik culture into a quality education. Case in point, LYSD was tasked with placing thousands of files in the correct folders. And once that task was done, the real work was just beginning. That’s because they needed to find a way to avoid having that kind of backlog ever again by standardizing a data-entry method that would allow them to file documents consistently with numerous users in the future.
“***We are in the process of conducting an internal audit of our personnel files,***” said Andy Steele, Lower Yukon School District’s Assistant Director of HR. When he first came aboard, the team was grappling with the challenge of moving more than 3,000 I-9 files from their old personnel folders to new I-9 folders. No one knew how to do it until he made a simple but profound discovery.

- **Employee I-9 files relocated:** 3,432 Form I-9 documents were moved out of their old nested locations into a single per-employee folder under the destination drawer.
- **Duplicate employee folders consolidated:** In 25 cases, an employee had two folders due to them manually being created before this automated process. The documents from the duplicate were moved into the surviving folder, resulting in one folder per employee.
- **Employee close-match folders renamed:** 365 folders were renamed to a new standardized format.
- **Inactive folders archived:** 1,263 remaining folders still in the old format were moved into a subfolder for non-current employees.
The best part is that all of this work is setting the stage for the next level of document management at LYSD.
